Applying for a grant

Some requirements

There are two options to participate in a mobility project:
Your organisation applies for an accreditation:

If you plan to send abroad your learners and/or staff on a regular basis over the next years, you should apply once for accreditation for Key Action 1 and can then submit ongoing annual requests for funding. The accreditation is unlimited in time and provides continuous access to funding for learning mobility. The accreditation is seen like an Erasmus membership.

You plan a short-term mobility project:

The main idea of this kind of projects is to allow organisations to organise a few activities in an easy way and to gain experience with Erasmus+. So if you are new to the programme or just plan a smaller project, then Short-term projects might be the right solution for you. You can apply once per year for an implementation period from 6 – 18 months. In a period of five years, you can receive funding three times. The number of participants can be max. 30.


Before starting:

Have a look at the internationalisation strategy of your organisation (or think about one if not existing yet) and make sure that your management supports your plans. Carrying out mobilities means some effort and commitment – discuss if it is worth going for an accreditation or if you start with a short-term project.

Have a look at the programme guide and the website of your National Agency. Make sure that the organisation you represent or work for is eligible to apply for funding.

Check the next deadline and the technical requirements for the electronic application and submission.

Find out your organisation ID (OID) or if you are new in this programme, register your organisation.

How to register:

To register your organisation, you first need to open an account with EU Login.
Go to the EU login page by entering the following address in the browser: https://webgate.ec.europa.eu/cas/login
Click on create an account and integrate at the following page all information you are asked for.

After you have provided all information, confirmed the privacy statement and clicked on “Create an account” you will receive a confirmation e-mail from EU login to the e-mail account provided in the registration form. Please follow the provided link as soon as possible. The link expires after 1h and 30min.

After you have clicked on the link from the e-mail, you will be directed to the site where you will be asked to choose a new password for the user name you have created. Then submit.
As soon as you have your EU Login data, you can ask for an OID: Please check the information at the Organisation register.

Let´s go for the accreditation


The application process is managed by the National Agency of your country. You can either apply for an individual accreditation for your organisation, or apply together with at least one other organisation as a consortium. The application form itself is published here, you need your EU Login to access the form.
The main part of the application is your ‘Erasmus Plan’. This sets out what you aim to achieve by organising mobilities, how they will be arranged, and should cover at least two years. More specifically, in the Erasmus Plan you set long-term, measurable objectives, describe the number of activity types planned and show how your institution will implement the plan in terms of staff. By submitting the application, you commit to comply with the Erasmus Quality Standards.


But let´s go step by step. The application form asks for:

  • Information about your organisation and its background, e.g. type of your organisation, its regular activities, profile of your learners, experiences with learning programmes, size, needs and challenges
  • Your Erasmus Plan includes
    • Aims – the state after the completion of an institutional development, aims should be realistic, measurable and evaluable. They should not focus just on the individual learner but on your organisation. Consider your school development plan, ask yourself where your institution wants to be in x years, what is its mission in VET and how can Erasmus mobility contribute to its fulfilment? The application form is very concrete, it asks for description, timetable, how to measure progress… and who developed the plan.
    • Activities in the next 2-5 years: For each year you need to give your estimated number of persons you want to send abroad. You will be asked for the profile of learners and staff members and why you decided for your target group.
    • Management – how to you plan to organise your activities and assure the successful implementation? How do you contribute to the programme priorities Inclusion and diversity, Environmental sustainability and responsibility, Virtual cooperation, virtual mobility and blended mobility as well as Active participation in the network of Erasmus organisations? How will you coordinate and monitor your activities? How will you deal with staff or management changes? How will you integrate results of the activities in your institution? Who is responsible for what in your organisation (roles and responsibilities)? How will share results of your activities or programme information with persons inside and outside your organisation?
  • Last but not least: Don´t forget to upload the signed declaration on honour.
  • Optional: Strategic documents to support your application, e.g. your internationalisation strategy or a mission statement

  1. It is possible an organization have an OID as vocational school and at the same time education school? In my school we have both courses, general and VET.

    1. You have one OID for one organisation. You use this OID for all your activities in Erasmus, independent if general education or VET.
